Volunteer and Events Coordinator
Primary Functions:
1) Establish an annual Fundraising/Community Engagement event plan/schedule by November 30 of each year for the following year; this may include both “in-person” and “virtual” events

Annual events should include, at a minimum, the annual Volunteer Appreciation Event
-
Plan and Execute a minimum of 6 Lutherwood Society Events each year
2) Plan and Execute Volunteer Service Events, including but not limited to: Corporate days of service (e.g. Eli Lilly); Church group days of service (e.g. God’s Work, Our Hands, individual church groups); and United Way days of service

Coordinate scheduling with service group liaisons and LCFS staff (i.e. maintenance team, LCFS Executive Director and/or Spiritual Life Leader)

Ensure all supplies needed for the volunteer event are secured prior to the event
-
Set up, arrange, and manage all aspects of the event on the day of each event

Complete event follow-up & reporting
3) Plan & execute all functions and aspects of Fundraising/Community Engagement Events to include:

Assist with the design and creation of invitations
-
Produce mailing lists from eTapestry & complete all mailing tasks
-
Use eTapestry to record event attendance/sponsorship on attendees and/or donor records
-
Plan & Coordinate with outside vendors & organizations
-
Solicit sponsorships from outside vendors & organizations
-
Set up, arrange, and manage all aspects of the event on the day of each event
-
Complete event follow-up & reporting and maintain event materials
-
Provide event photos and information for social media posts in accordance with the LCFS/Foundation social media strategy
4) Support the LCFS marketing plan to include the use of photos and video to tell the story of LCFS programs and services

Ensure photos are taken at all special events/community events and uploaded to the LCFS file server for use by the development team

Implement approaches and activities to share the LCFS story in the community using photos and text communication tools
5) Update information in the volunteer database as needed; tasks may include, but are not limited to the following:

Ensure all event opportunities and volunteer service data is entered into the database

Provide training and support to event volunteers regarding the use of the database
6) Design and implement volunteer recruiting activities as needed to ensure that programs and event have adequate volunteer support
7) Establish and maintain relationships with community organizations that promote cross-entity collaboration and the sharing of ideas
8) Serve as back-up for donor data entry into eTapestry, including but not limited to donor gift and acknowledgement letters
9) Provide administrative support & assist with LCFS & Foundation programs/activities, as requested
10) Other duties as assigned
Skills & Experience:

Excellent organization & communication skills; must be a self-starter

Demonstrated proficiency with Microsoft Word, Excel & Outlook; experience in eTapestry helpful

Understanding of databases
-
Ability to maintain confidentiality of information
-
Previous event coordination experienced preferred
Qualifications:

Associates Degree or Bachelor’s Degree Preferred

Valid Indiana Driver’s License
