Sharing Place Coordinator

Sharing Place Coordinator Position Details: 

Primary Functions:

1)   Run the day to day operations of The Sharing Place and develop a plan for effective daily operational flow:

  • Assign volunteers and/or interns/program staff to appropriate tasks
    • Client Intake & shopping assistance
    •  Receive orders & unload
    • Pick up donated & purchased products
    • Clean & organize
  • When volunteers/staff not available, complete necessary tasks to ensure program operation

2)    Provide guidance & direction to all volunteers

  • Ensure there is a plan for volunteer activities under this position
  • Create positive relationships with all volunteers to work alongside them
  • Generate personal and effective ways to acknowledge the volunteers
  • Ensure volunteers utilize the volunteer database
  • Review and validate volunteer hours and activities in the volunteer database

3)    Control inventory to maintain appropriate stock while staying within established budget

  • Order food & hygiene products from Gleaners
  • Order office supplies/cleaning products through the LCFS Central Office
  • Pick up donations from local stores/outlets through the Gleaners DAP system
  • Using other approved means to purchase additional products needed to serve clients effectively

4)     Ensure all donations are properly recorded, food donations are weighed, and documentation is provided to the main office

5)     Maintain Sharing Place statistics and complete reporting as required using Gleaner’s Food Bank Manager and Agency Express systems, as well as submitting required documentation for all grants and funders, including but not limited to the United Way of Central Indiana.

6)      Maintain various relationships and actively promote The Sharing Place

  • Attend hunger relief meetings & conferences (Gleaners, etc.)
  • Ensure good working relationship with MSD-LT
  • Speak at churches, community partners, etc. as needed
  • Visit local businesses and develop relationships with their leadership teams

7)      Implement strategic and long-term goals for the Sharing Place

  • Ensure all regulations are met (State Board of Health, USDA, State Fire Marshall)
  • Ensure compliance with all Gleaners/TEFAP requirements
  • Complete all tasks assigned through the LCFS Strategic Plan

8)      Communicate clearly with the main office & work within budget

  • Ensure teamwork with personnel at the main office
  • Follow established financial practices for purchasing and receipt submission

9)    Ensure Sharing Place vehicle is safe, stays clean, and is well-maintained.  

  • Schedule vehicle for regular maintenance – oil change, tire rotation, etc.
  • Make certain all drivers are properly licensed and take annual vehicle safety training

10)    Other duties as assigned

Skills and Experience:

  • HS Diploma or Equivalency required
  • Retail and/or grocery experience preferred
  • People skills and ability to relate well to clients, donors, volunteers, and referral sources
  • Organizational and multi-tasking skills along with the ability to effectively manage and coordinate both people and information
  • Knowledge of Microsoft Word, Excel, Access and Outlook
  • Communication skills, accuracy and attention to detail
  • Understanding of volunteering and volunteer management
  • Ability to recognize and effectively respond to the needs of a diverse faith community, as well as cultural differences of volunteers, staff and clients
  • Ability to maintain confidentiality of information

  • Must be able to recognize and effectively respond to cultural differences of clients

Working Environment:

  • Must be able to lift 50 pounds
  • Able to work hours needed to accomplish assigned tasks, to include evenings, weekends, and holidays, not to exceed 40 hours a week
